Job Summary

The Reconstruction Manager is the department head of the Structure/Reconstruction division within the Restoration & Flood Division. This role owns the full performance of the reconstruction department - from revenue generation and GPM to job execution, subcontractor management, and team development. The Reconstruction Manager leads a split seller/doer model, overseeing Estimators (primary sellers), Project Managers (job execution oversight and occasional sales), in-house Reconstruction Technicians, and a managed network of subcontractors. This is a player-coach role that requires both operational leadership and financial accountability.

Essential Duties and Responsibilities

Financial & GPM Ownership

  • Own department revenue, gross profit margin (GPM), and job completion cycle time targets
  • Review bids and scopes before submittal; ensure estimate aligns with actual build cost and markup strategy
  • Apply tiered subcontractor markup framework by invoice size to protect GPM across varying job sizes
  • Monitor job cost vs. estimate in Dash throughout the life of each job; flag GPM erosion early
  • Drive supplement approvals and resolve scope disputes with insurance carriers
  • Track and manage Accounts Receivable (AR); target DSO of 45 days or less, with top-performer goal of 30 days

Team Leadership & Development

  • Lead, coach, and hold accountable: Estimators, Project Managers, in-house Technicians
  • Conduct regular 1:1s with Estimators and PMs; review KPI performance and remove obstacles
  • Develop technician skills for self-performed work (drywall, framing, finish carpentry) to maximize in-house labor GPM
  • Establish and maintain role clarity between selling roles (Estimators, occasional PM) and doing roles (PMs, Techs, Subs)
  • Participate in hiring, onboarding, and performance management for all department roles

Subcontractor Management

  • Maintain an approved subcontractor network; vet licensing, insurance, and quality standards
  • Negotiate subcontractor agreements, pricing, and markup structures that support target department GPM
  • Work within insurance carrier markup guidelines (typically 20% cap) while leveraging legitimate O&P billing structures
  • Approve subcontractor invoices; ensure invoiced amounts match scope authorizations before releasing for payment
  • Hold subs accountable to schedule, quality, and documentation standards

Job & Operational Oversight

  • Oversee the full job lifecycle in Dash: assignment, scheduling, milestones, job status updates, and closure
  • Ensure permits are pulled, tracked, and closed correctly on every applicable job
  • Review Xactimate scopes for accuracy; confirm in-house labor and sub line items are properly itemized
  • Coordinate with Mitigation and Contents departments on turnover jobs to ensure clean handoff and scope alignment
  • Ensure final invoices are submitted promptly after job completion - billing lag is a primary GPM killer

Process & Systems

  • Maintain accurate job data in Dash (project IDs, status, cost coding, subcontractor invoices)
  • Cross-reference material and sub costs in Sage against Dash job records; flag discrepancies immediately
  • Identify and escalate orphaned costs, unallocated material purchases, or jobs tracking to negative GPM
  • Support ongoing system integrity during any ERP/CRM transition periods

Minimum Qualifications

  • 5+ years of experience in residential or commercial reconstruction, restoration, or general contracting
  • Proven track record managing both in-house crews and subcontractor networks simultaneously
  • Proficiency with Xactimate estimating platform - able to read, review, and supplement scopes
  • Strong financial literacy: understands GPM, markup vs. margin, labor burden, and job costing
  • Experience managing insurance restoration projects and working within carrier billing guidelines
  • Strong communication skills - able to interface professionally with adjusters, homeowners, subcontractors, and internal teams

Preferred

  • Experience with Dash, Sage, or ServiceTitan (or comparable job management / accounting platforms)
  • Familiarity with RIA benchmarks and insurance restoration billing structures (O&P, line item documentation)
  • IICRC certifications or equivalent restoration industry credentials
  • Prior experience building or scaling a reconstruction department within a restoration company
